CASE STUDY — AFM FOR INTERNATIONAL CLIENTS

40+ AFM registrations per month — with zero rejected applications and a 5-day turnaround

Papadopoulos & Associates replaced their fragmented network of accountants, translators, and couriers with a single Ellytic pipeline that handles AFM registration, certified translation, and authority-ready document delivery for their international client base.

The challenge before Ellytic

The firm managed AFM registrations through 6 different accountants, 3 freelance translators, and a courier service — none of whom shared a common tracking system. The operations manager spent 15+ hours per week on status calls and email chains.

International clients arrived with documents in 12+ languages and varying apostille standards. One in four AFM applications was rejected on first submission due to translation formatting issues or missing supporting documents.

Client onboarding took an average of 21 days from engagement to AFM issuance. High-value property buyers and company formation clients regularly lost patience and moved to competing firms with faster turnaround.

HOW ELLYTIC SOLVED IT
1

Client intake with document validation

Each new client's documents were uploaded to an Ellytic workspace with automatic validation for completeness, apostille chain integrity, and translation requirements. The system flagged issues before the client left the initial consultation.

2

Parallel certified translation

Documents requiring Greek translation were routed to Ellytic's certified translation pipeline. All translations were delivered within 1 business day with DOY-accepted formatting — eliminating the firm's dependence on freelance translators.

3

AFM application assembly & submission

Ellytic assembled the complete AFM package — M1 form, translated documents, representative authorization (εξουσιοδότηση), and supporting evidence — and submitted directly. The correct DOY was determined automatically based on the client's intended tax residence.

4

Authority tracking & client notification

The firm received real-time status updates on each application. Upon AFM issuance, Ellytic delivered the complete package — AFM certificate plus all supporting documents — ready for the next step in the client's legal workflow.

We built our reputation on serving international clients, but the AFM process was our weakest link. Now it's our fastest. Clients get their AFM in 5 days, and my team doesn't touch a single application form.

Detailed workflow breakdown
1

Day 0: Client engagement & document collection

During the initial client meeting, the associate uploads the client's passport, proof of address, and any existing Greek documentation to Ellytic. The system generates a client-specific checklist and highlights any missing documents or apostille requirements.

2

Day 1–2: Translation & package assembly

Certified Greek translations are completed within 24 hours. The M1 form is pre-filled based on the client's profile, and the representative authorization is prepared. All documents are cross-validated for consistency before package finalization.

3

Day 3–4: Submission & DOY processing

The complete application is submitted to the assigned DOY (Tax Office). Ellytic tracks the submission through processing, handling any authority requests for additional documentation directly without involving the firm's staff.

4

Day 5: AFM issued & package delivered

Upon AFM issuance, the firm receives the complete package: AFM certificate, certified translations, and all supporting documents. This package is immediately usable for property purchases, company formation, or banking — whatever the client's next legal step requires.
